Delete/Merge Children

If you mistakenly entered a child into KidKare twice, you may need to delete the child record entirely, merge child records, or withdraw the child from care.

Important: Children that have been claimed and/or that have income eligibility information saved to their profile cannot be deleted. You must instead either merge them to another record or withdraw them.

  1. From the menu to the left, click List Children.

  2. Choose the Selected Center option in the Find Records section.

  3. Click the Select Center drop-down menu at the top of the window to select the center from which to delete a child.

  4. Filter to the child(ren) to delete.

    1. Use the Status drop-down menu to filter by status.
    2. Use the empty boxes in each column to filter by column.
    3. Click the column headers to sort by column.

  5. Check the box next to each child to delete. 

  6. Click the Actions button and select Delete.

  7. If the child/children you selected have not been claimed previously or do not have household income eligibility data entered, you are prompted to confirm the deletion. Click Delete. Go to Step 10.
  8. If a child you selected has been claimed previously or has household income entered, you are prompted to take a different action:

    • Keep Child: Make no changes and leave the child as-is.

    • Merge: Merge the child with another child profile.

      1. Select Merge.
      2. Click the Select Child drop-down menu, and select the child to which to merge this record.

      3. Repeat Steps a & b for any other children you need to merge.
      4. Go to Step 9.
    • Withdraw: Withdraw the child and set a withdrawn date.
      1. Select Withdraw.
      2. Click the Withdraw Date box and select the withdrawal date for this child.

      3. Repeat Steps a  & b for any other children you need to withdraw.
      4. Go to Step 9.

  9. Click Apply All Changes.

  10. At the confirmation prompt, click OK.

Tip: You can execute multiple actions in one session. Each child you selected in List Children has their own menu and can have their own action assigned. For example, you can delete Child A, merge Child C to another child, and Withdraw Child D all in the same pop-up at the same time.
