# Enhanced SNAP/TANF Validation in eForms

When a parent selects SNAP or TANF on the Income Eligibility Form (IEF) and enters a case number, KidKare can check and validate that number when the form is submitted.

If the number looks like it was taken from somewhere else on the form, such as the household phone number or zip code, or if it does not match the case number format for the state, KidKare flags it. We call this a **finding**.

A flagged child is held at **Paid** with an FRP basis of **Invalid SNAP/TANF Number** until the you, the sponsor, reviews and actions the finding. All findings and actions taken on them are logged both to the eForm's **Activity Log** and the new **SNAP/TANF Findings Report**.

**Note:** Centers never see the SNAP/TANF Validation flow, even if they are configured to approve eForms before they reach you, the sponsor.

### How Findings are Triggered

KidKare compares the SNAP or TANF case number against known state format the other information on the household's Enrollment Form and Income Eligibility Form. If the format does not match the parent's state format or if the number entered matches other information on the EF/IEF, a finding is raised.

Note that one number can indicate more than one type of finding. The SNAP/TANF Findings Report lists each reason the finding exists for a given form.

### Enable SNAP/TANF Validation for eForms

To begin validating SNAP/TANF numbers upon submission of eForms, set the **If a parent indicates they participate in SNAP, would you like to require them to provide their SNAP number for validation?** toggle to **Yes**.

You can adjust these settings by clicking ![language-settings-Jun-27-2025-09-39-52-3561-PM](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Import/language-settings-Jun-27-2025-09-39-52-3561-PM.png?width=37&height=40&name=language-settings-Jun-27-2025-09-39-52-3561-PM.png) from the menu to the left and navigating to the **eForms** section.

**Note:** Parents only see warnings about the case numbers they enter if you also have enabled the following eForms settings:

- Would you like to require SNAP/TANF number validation for parents to submit their forms?
- Would you like to disallow or warn the parent of incorrect formatting?

### Resolve SNAP/TANF Findings

Findings are resolved during your normal Approve/Renew process for eForms. Children  needing attention are flagged on the Approve & Renew page.

1. From the menu to the left, click **eForms**.
2. Select **Approve & Renew**. The Approve & Renew page opens.
3. Set filters for the centers, children, and forms to review.
4. Flagged forms listed on the **Approve & Renew** page show ![exclamation\_finding](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/exclamation_finding.png?width=16&height=17&name=exclamation_finding.png) next to the child name. Hover over it to see the reason the form was flagged. In our example below, Emma's case number doesn't match a known format for her state.
![Figure 16 - Approve & Renew for Emma Rivera, showing the error icon tooltip](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/Figure%2016%20-%20Approve%20%26%20Renew%20for%20Emma%20Rivera%2c%20showing%20the%20error%20icon%20tooltip.png?width=670&height=419&name=Figure%2016%20-%20Approve%20%26%20Renew%20for%20Emma%20Rivera%2c%20showing%20the%20error%20icon%20tooltip.png)
5. Click the child's name to open the form. For forms with findings, a banner displays at the top of the form calling out the case number and providing actions you can take. The SNAP and/or TANF number that generated the finding is bolded and red.
![Figure 19 - The flagged form for Emma Rivera with the message and the three actions](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/Figure%2019%20-%20The%20flagged%20form%20for%20Emma%20Rivera%20with%20the%20message%20and%20the%20three%20actions.png?width=670&height=419&name=Figure%2019%20-%20The%20flagged%20form%20for%20Emma%20Rivera%20with%20the%20message%20and%20the%20three%20actions.png)
6. To resolve a finding, you can confirm the case number, reject it and send it back for corrections, or accept the finding as-is. The table below provides additional information about each action, when to use it, and what the result would be.

   | **Action** | **When to use it** | **Result** |
   | --- | --- | --- |
   | Confirm Case Number | You verified the number with the household and it is correct as entered. | The finding closes as **Confirmed**. FRP is calculated normally, for example Free with a basis of Food Stamps. |
   | Reject and Send Back | The number is wrong and the parent needs to correct it. | Only the IEF goes back to the parent with your message. The child stays Paid until the parent resubmits and you approve. The finding shows **Sent Back**. |
   | Accept Finding | The household cannot provide a valid number, for example they no longer receive SNAP. | The finding closes as **Finding Accepted**. The child is set to Paid with a basis of Invalid SNAP/TANF Number. |

#### **Confirm Case Number**

When you confirm a case number (say you were able to confirm with the parent directly), the child's FRP is set to Free and their FRP Basis reflects Food Stamps or TANF.

1. Click **Confirm Case Number**.
2. Optionally, add a note about how you verified the number.
![Figure 24 - The Confirm Case Number window](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/Figure%2024%20-%20The%20Confirm%20Case%20Number%20window.png?width=670&height=419&name=Figure%2024%20-%20The%20Confirm%20Case%20Number%20window.png)
3. Click **Confirm Case Number**. The banner at the top of the page becomes green and shows **SNAP/TANF case number confirmed**, plus any notes you entered, your name, and the date.
![Figure 25 - After confirming, the banner reads SNAPTANF case number confirmed. New FRP is now Free and](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/Figure%2025%20-%20After%20confirming%2c%20the%20banner%20reads%20SNAPTANF%20case%20number%20confirmed.%20New%20FRP%20is%20now%20Free%20and.png?width=670&height=419&name=Figure%2025%20-%20After%20confirming%2c%20the%20banner%20reads%20SNAPTANF%20case%20number%20confirmed.%20New%20FRP%20is%20now%20Free%20and.png)

#### **Reject and Send Back**

When you reject a case number and send it back to the parent, the IEF goes through the normal Send Back for Revisions flow: The parent gets an email about the revisions, the form appears in their parent portal, and they can update the form and send it back.

1. Click **Reject and Send Back**.
2. Enter a message to the parent. This message is required and is sent to the parent with the form. This message will also log to the eForm's **Activity** **Log** (note that you will have to exit and re-enter the form to see the updated log).
![Figure 20 - The Reject and Send Back window with our message to the parent](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/Figure%2020%20-%20The%20Reject%20and%20Send%20Back%20window%20with%20our%20message%20to%20the%20parent.png?width=670&height=419&name=Figure%2020%20-%20The%20Reject%20and%20Send%20Back%20window%20with%20our%20message%20to%20the%20parent.png)
3. Click **Reject and Send Back**. The form is sent back to the parent, and the banner at the top becomes yellow and shows **Sent back to parent**, followed by the message you sent, your name, and the date.
![Figure 21 - After sending back, the banner reads Sent back to parent](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/Figure%2021%20-%20After%20sending%20back%2c%20the%20banner%20reads%20Sent%20back%20to%20parent.png?width=670&height=419&name=Figure%2021%20-%20After%20sending%20back%2c%20the%20banner%20reads%20Sent%20back%20to%20parent.png)
4. **When the parent corrects the number and re-submits the form**, return to the Approve & Renew page to review, approve, and/or renew it. If the parent re-submits with a case number that no longer violates format rules or match other data in the eForm, the flag no longer displays.

Click the child's name to open the form, review the information, and approve and/or renew as usual. The **Activity** section shows the full history, including where the parent re-submitted the form with a corrected number.
![Figure 34 - Activity for Emma Rivera, showing the send back, Parent resubmitted IEF with corrected SNA](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/Figure%2034%20-%20Activity%20for%20Emma%20Rivera%2c%20showing%20the%20send%20back%2c%20Parent%20resubmitted%20IEF%20with%20corrected%20SNA.png?width=670&height=419&name=Figure%2034%20-%20Activity%20for%20Emma%20Rivera%2c%20showing%20the%20send%20back%2c%20Parent%20resubmitted%20IEF%20with%20corrected%20SNA.png)

#### **Accept Finding**

When you accept a finding for an invalid SNAP/TANF number, the child remains Paid with an FRP Basis of Invalid SNAP/TANF number. The parent receives no messaging.

1. Click **Accept Finding**.
2. Optionally, add a note explaining why you accepted the finding.
![Figure 22 - The Accept Finding and Continue window with a note](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/Figure%2022%20-%20The%20Accept%20Finding%20and%20Continue%20window%20with%20a%20note.png?width=670&height=419&name=Figure%2022%20-%20The%20Accept%20Finding%20and%20Continue%20window%20with%20a%20note.png)
3. Click **Accept Finding**. The banner at the top of the page becomes green and shows **Finding Accepted**, plus any notes you entered, your name, and the date.
![Figure 23 - After accepting, the banner confirms the child will be Paid with a basis of Invalid SNAPTA](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/Figure%2023%20-%20After%20accepting%2c%20the%20banner%20confirms%20the%20child%20will%20be%20Paid%20with%20a%20basis%20of%20Invalid%20SNAPTA.png?width=670&height=419&name=Figure%2023%20-%20After%20accepting%2c%20the%20banner%20confirms%20the%20child%20will%20be%20Paid%20with%20a%20basis%20of%20Invalid%20SNAPTA.png)

### Track Findings with the SNAP/TANF Findings Report

The SNAP/TANF Findings report is an on-screen report that lists all eForms for which a finding was found. It breaks each out by center, child, program (SNAP or TANF), reason for the finding, and more. Use this page to track the status of findings across your organization, as well as to quickly access child forms needing review. This report is also exportable as a PDF or Excel file.

1. From the menu to the left, click **Reports**.
2. Choose the **Children** report category.
3. Click the Report drop-down menu and select **SNAP/TANF Findings**.
4. In the **Filter for Findings** section, you can set filters for Center, Status, Program, Age (of the finding), and Detected Date. This report defaults to **Open** and **Sent Back** findings.
![Figure 35 - The Status filter with every status selected](https://knowledge.kidkare.com/hs-fs/hubfs/Knowledge%20Base%20Images%20-%20DO%20NOT%20DELETE/Figure%2035%20-%20The%20Status%20filter%20with%20every%20status%20selected.png?width=670&height=419&name=Figure%2035%20-%20The%20Status%20filter%20with%20every%20status%20selected.png)
5. When finished, click **Search**. The report displays on-screen.
