View & Update Center Information
To access the Manage Center Information page:
- From the menu to the left, click Center Management.
- Select Manage Center Information.
- Click the Select Center drop-down menu at the top of the window and select the center to view.
- The Manage Center Information page opens. This window is divided into three tabs:
- General
- License/Schedule
- Oversight
- Review the information in each tab and ensure that it is correct for the claim month on which you are working.
- Click Save to save any changes.
Note: When entering center license starting and ending age, make sure to follow the rules listed below:
- *License/CACFP Starting Age: If your license starting age is different than your program starting age, enter the oldest of the two here.
- *License/CACFP Ending Age: If your license ending age is different than your program ending age, enter the youngest of the two here.
Access Center Admin Credentials
- From Manage Center Information, click on the Oversight tab.
- The Center Admin Credentials can be found and edited in the Center Login section.
Manage Meal Entry Time Requirement
You can control whether centers must record attendance data in on a daily basis. This setting affects sites on a case-by-case basis, and you can enable/disable it at any time.
Enable the Same-Day Entry Requirement
When enrolling or updating centers in KidKare you can specify whether that center must enter attendance data on a daily basis.
- From the menu to the left, click Center Management.
- Select Manage Center Information.
- Click the Select Center drop-down menu at the top of the window and select the center to update.
- Click the Oversight tab.
- In the Other Info section, click the Record Attendance Date/Time Limitation drop-down menu and select By End of Day.
- Click Save.
- Repeat Steps 3-6 for each center to update.
Disable the Same-Day Entry Requirement
At some times you may need to disable same-day entry requirement for certain centers. For example, if KidKare by Minute Menu announces an extended maintenance window that may affect same-day entry, you may wish to temporarily remove this requirement.
- From the menu to the left, click Center Management.
- Select Manage Center Information.
- Click the Select Center drop-down menu at the top of the window and select the center to update.
- Click the Oversight tab.
- In the Other Info section, click the Record Attendance Date/Time Limitation drop-down menu and select None or During Meal Service Times.
Note: You could also set this to By End of Week. However, if you are updating this setting to accommodate system maintenance that occurs at the end of the week, we recommend you select None or During Meal Service Times. - Click Save.
- Repeat Steps 3-6 for each center to update.
Update Center Email Addresses
To ensure the highest security possible, we strongly recommend that each of your centers have their own, unique email address tied to their account. This article provides steps you can take to audit for duplicate and blank email addresses in KidKare, so you can update center records accordingly.
Locate Centers with Duplicate Email Addresses
Duplicate email addresses used across multiple center accounts has the potential to be a security risk. To ensure that all data has the best protection possible, each of your centers must have their own, unique email address. You can use the Center List Export file and Excel to quickly locate duplicate email addresses in your system. Since contact information is included, this report becomes a convenient call list.

First, generate the report.

From the menu to the left, click Reports.

Click the Select a Category drop-down menu and select Centers.

Click the Select a Report drop-down menu and select Centers List Export.

In the Filter for Center(s) section, ensure that the Status drop-down menu is set to Active.

Click Search. The Select Center(s) section populates.

Check the box in the header of this list to select all centers.

In the Select Field(s) to Export section:

All fields are selected by default. Clear the box in the header to clear all boxes.

Check the Director's Contact Info and Director's Name boxes.

Click Export. The export downloads as a spreadsheet.

In Excel, highlight duplicate email addresses:

Select the Email column.

From the Home tab, click Conditional Formatting, Highlight Cells Rules, and select Duplicate Values.

Click OK at the prompt. Any duplicate email addresses are highlighted.

Filter the spreadsheet to show only the duplicate emails.

Click the first row of the Email column.

Click Sort & Filter in the top-right corner of the Home tab and select Filter. The first row of each column in the spreadsheet is now a drop-down menu you can use to filter.

Click the Email drop-down menu, select Filter by Color, and click the color that matches the highlighted cells.

The spreadsheet should now only show duplicated email addresses. Since the center name and center numbers are included, you can easily determine what sites need to be updated.

Update center email addresses in the Center Information General tab to ensure that each center has its own, unique email address.
Locate Centers with Blank Email Addresses
Not only does email provide a convenient way for sponsors to contact their sites, it ensures that centers can self-serve in the event they forget their user name or password. Use the Center List Export file to generate a report you can then filter to show those centers for which you do not have an email address. Since contact information is included, this report becomes a convenient call list.

Follow Step 1 under the Locate Centers with Duplicate Email Addresses heading above to generate the Center Lists Export File.

Filter the resulting spreadsheet to show blank email addresses only. Note that these instructions are Excel-specific.

Click the first row of the Email column.

Click Sort & Filter in the top-right corner of the Home tab and select Filter. The first row of each column in the spreadsheet is now a drop-down menu you can use to filter.

Click the Email drop-down menu and clear the Select All box.

Scroll to the bottom of the list and check the Blanks box.

Click OK. You now have a list of sites with missing email addresses, as well as their director's phone number and name.

Contact the sites on your list for their email addresses and add their email addresses to the Center Information General tab.
