Record Attendance and Meal Counts for Hybrid ARAS/SFSP Sites

ARAS/SFSP sites operating under a Hybrid model take attendance and meal counts by child and can add walk-ins as they arrive.
- From the menu to the left, click Menus/Attendance.
- Click Attendance & Meal Count.
- From here, your next steps are determined by which program(s) you are running.
ARAS Hybrid Attendance & Meal Counts
Note: If you operate both ARAS and SFSP, click the ARAS Hybrid tab to get to the Attendance and Meal Counts page for your ARAS program.
- Ensure you are toggled to Attendance & Meal Counts.
- Use the Date box to choose the date for which to record. This defaults to today's date.
- Filter your roster, as needed. You can filter by the following:
- Type: Choose to show Enrolled, Walk-in, or All Children.
- Status: Filter by In Attendance or Absent.
- Roster: Filter your roster by the last time children attended. You can filter by Attended Last 60 Days, Attended Last 90 Days, or All Enrolled. Note that All Enrolled includes all walk-ins you may have previously added.
- Check the Attended box next to each child listed who attended.
- Check the box in the appropriate meal column to record the meal count for the attending child. Your changes are saved automatically.
Adding & Managing Walk-Ins
Quickly add walk-ins directly to the Attendance & Meal Counts page without fully enrolling them. Walk-Ins will persist on your Attendance Roster until you either remove them or filter them out by Last Attended.
- Click + Add Walk-In at the top or bottom of your roster list.

- Enter the child's First Name (required) and Last Name (optional).
- Check the Child Meet's Age Requirements box.
- Click Add. The child is added to your roster and tagged as a Walk-In.
- To delete a walk-in from your roster, click the trash can icon to the right of it.
Note: Deleting a walk-in from your roster removes that walk-in from the pool of children for whom to record attendance. The child will be retained on claims reporting for the dates in which they were in attendance.
Print ARAS Sign-In Sheets
Under the Hybrid ARAS model, you have the option of printing a Blank Sign-In Sheet or a Sign-in Sheet populated with the children currently on your roster (including any prior walk-ins).
- Click Sign-in Sheets.
- Choose Daily or Weekly.
- Choose which type of sign-in sheet to print:
- Blank Sign in Sheet: Print a blank sign-in sheet for participants to fill-in.
- Pre-Filled With Names: to print a sign-in sheet populated by the children you already have on your roster, plus blank lines for additional sign-ins.
- Click OK. The sign-in sheet downloads.
SFSP Hybrid Meal Counts and Attendance
Note: If you operate both ARAS and SFSP, click the SFSP Hybrid tab to get to the Attendance and Meal Counts page for your SFSP program.
Hybrid SFSP programs have access to a roster that lists their enrolled children and allows them to add any walk-ins as they arrive. Sign-in sheets are also available for this program type. Otherwise, meal counts are recorded as they are in other SFSP programs.
Viewing Your Roster
- Click the Roster link. The Roster pop-up opens.
- Search for a child to view or edit.
- Click a child's name to edit it. Click Save to save your changes.
- When finished, click Close.

- To delete a walk-in from your roster:
- Click the Roster link to open your roster.
- Locate the walk-in to delete.
- Click the trash can icon to the right of the child's name.
- At the confirmation prompt, click Delete.
Print SFSP Sign-In Sheets
Under the Hybrid SFSP model, you have the option of printing a Blank Sign-In Sheet or a Sign-in Sheet populated with the children currently on your roster (including any prior walk-ins).
- Click Sign-in Sheets.
- Choose Daily or Weekly.
- Choose which type of sign-in sheet to print:
