Log Messages & Broadcast Messages

The Messages feature in KidKare can be used to log messages that providers cannot read, as well as messages that function as "broadcast" messages to your providers. This is useful for not only keeping communication-related notes on your providers, but for sending out wide notices for important information.

You must have View Access or Full Access to Manage Provider Messages to access the Messages feature. Only users with Full Access can send or log messages to providers.

Log & Broadcast Messages

When you log a message, you are saving it for you and sponsor staff only. Each message can be noted for one or more providers, allowing you to capture notes and communication details for your internal use only.

  1. Click messages-Jun-27-2025-09-39-03-0162-PM from the menu to the left. The Messages page opens and displays the Received tab by default.
  2. Click Log Message
  3. Use the following fields to filter to the provider(s) for whom to log a message. These filters update the provider list in the Provider(s) menu:
    • Provider Statuses: Filter to Active, Hold, or Pending providers. You can select multiple statuses.
    • Monitor: Select All Monitors, or select the monitor(s) by which to filter providers.
    • Claim Source: Choose to filter providers by their claim source: Manual Entry - Sponsor; Scannable Forms - Sponsor; or Online.
    • Claim Submitted: Set this toggle to Yes to filter the Send To list to only those providers who have submitted claims.
  4. To convert this to a broadcast message that providers can read, click slider-btn-Jun-27-2025-09-40-04-0672-PM Allow Provider to read this message?.
  5. Click Provider(s) drop-down menu and select the provider(s) for whom to log your message. You can also select All Providers to log this message to all providers.
  6. Click the Subject box and enter a subject for your message.
  7. Click the Message box and enter the contents of your message.
  8. To add an attachment to your message:

    1. Click Add Attachment and select File.

    2. Browse to the location on your computer where the attachment is stored.

  9. Click Log Message. The message is added to the Sponsor Call Log tab.

Viewing Logged Messages

  1. Click messages-Jun-27-2025-09-39-03-0162-PM from the menu to the left. The Messages page opens and displays the Received tab by default.
  2. Click the Sponsor Call Log tab.

You can do the following in this tab:
  1. Use the Start Date and End Date boxes at the top of the page to filter the date range shown.
  2. Use Search Messages to locate a specific message.
  3. Mark messages as read or unread.
  4. Archive logged messages.

View Archived Logs

When you archive a log message, it is added to the Archived tag like messages you've sent. 

  1. Click messages-Jun-27-2025-09-39-03-0162-PM from the menu to the left. The Messages page opens and displays the Received tab by default.
  2. Click Archived. The Archived tab opens and displays messages you've archived.
  3. Use the Start Date and End Date boxes at the top of the page to filter the date range shown.
  4. Click the Filter drop-down menu and select Logged Messages. This filter is set to From by default, so you must update this filter before you see archived messages.
  5. Use the Search Messages box to search for a specific message.
  6. Click a message to view details.
