Sponsors of Homes

Fixed

  • Sponsor names longer than 50 characters were being cut off on the Provider's Claim Summary and Error Report. The report now displays the full sponsor name correctly, up to 100 characters.
  • The "Alternate Assigned ID" output option is now restored in the Claim List Export File report, so sponsors can once again select and include this field when generating their export.
  • Fixed an issue on iPhones where the electronic signature toggle at the end of a provider review couldn't be tapped. Sponsors can now require electronic signatures during the review process without any trouble.
  • The "Highest Meal Shift" field and several other options are back in the Provider List Export file. Sponsors can once again select and export this data for their split-shift providers.
  • The South Carolina DSS Enrollment Form now correctly displays each child's pick-up (leaving) time. This was previously missing from the printed report even though the time was saved in the child's schedule.
  • Fixed an issue where a provider logging into KidKare could occasionally see another provider's account and data. Each provider account is now linked uniquely, so everyone sees only their own information when they log in.
  • Fixed an issue where the Racial/Ethnicity Count Summary by Enrollment report wasn't generating or was showing incomplete data for some providers — especially those recently enrolled. All selected providers should now appear in the report with accurate enrollment counts.
  • The provider number no longer appears next to the provider's name on printed checks. This prevents potential issues with banks refusing to cash checks due to extra numbers appearing in the payee name.

Sponsors of Centers

Fixed

  • Fixed an issue where Sponsor Observers could record Non-Congregate Meals even when the sponsor's policy settings should have prevented any editing. Now, when those settings are configured to restrict sponsor editing, the Non-Congregate Meals page will be disabled for Sponsor Observers — consistent with how the Attendance & Meal Count page already behaved.
  • Fixed an issue in the Review Details Report where attendance totals in the "Last Five Days of Attendance" section were all displaying under the last date instead of each being shown under its correct date. The report now matches the layout seen in the online review.
  • Center names longer than 50 characters were being cut off on several reports, including Claim Totals by Center, Claim Totals by Center (Detail), Participant Totals by Center, Non-Profit Status, and Monthly Receipt Totals. These reports now support center names up to 100 characters, matching the full name as entered in the system.
  • Fixed an issue where the Track Received Claims screen incorrectly showed an At-Risk claim for a center that had no at-risk children or approved at-risk meals. The system now only creates At-Risk claim records for the current month when the At-Risk setting is turned on, preventing past months from being retroactively affected.
  • The Center List Export report now supports an unlimited number of centers, resolving an issue where sponsors with a large number of centers could not export a complete list when selecting all center statuses (Active, Hold, and Removed).
  • Fixed an issue where clicking on a withdrawn child from the List Children screen would display a blank Child Information page. The system now correctly loads the child's profile with the Withdrawn status and date filter automatically applied.
  • The Manage Client Information page now includes a separate extension field next to the Phone Number and Alternate Phone fields, so phone extensions are properly displayed and saved instead of being lost. The Meal Counts & Attendance With FRP report also now shows phone numbers with their extensions.
  • Fixed an issue on the Archived Messages page where clicking the Refresh button caused the filter to reset incorrectly, displaying the wrong messages. The selected filter (such as "To") now correctly persists after refreshing.
  • Fixed an issue where the Enrollment Expiration Buffer Month Count sponsor preference (G.003.iii) had no selectable options available, preventing sponsors from updating this setting. The dropdown now correctly displays all valid options: 0, 1, 2, and 3.
  • Fixed an issue where clicking the "Reprocess Claim" button from the Claim Details page displayed "No record found" instead of loading the Process Claims page correctly. Sponsors can now reprocess claims directly from Claim Details without encountering this error.
  • Fixed an issue where a child's age was displaying incorrectly in Child Detail, showing only years (e.g., "1y") instead of the correct years and months (e.g., "1y 8m").

Sponsored Centers

Fixed

  • Fixed an issue where staff users with the "Record Center Attendance" permission turned off would get stuck on an endlessly loading page after logging in, preventing them from accessing any part of the application. The page now loads correctly, and the Attendance & Meal Count menu option is properly hidden while all other menu items remain accessible.
  • Fixed an issue where center claims that had not yet been submitted could be incorrectly included in payment runs, resulting in overpayments and inaccurate payment statuses. Unsubmitted claims are now properly excluded from payment runs.
  • Fixed an issue where the Print button was missing from the Claim Payment Details report, leaving users with no way to print a properly formatted version. The Print button now appears as expected after running the report.
  • Fixed an error that prevented menus from being copied to days that already had multiple Individual Infant Menu entries. Menus can now be copied to those days without any errors.
  • Fixed an issue where the "Calculate Blended Rates While Processing" checkbox would not save properly for some users, causing claims to be processed with outdated Free/Reduced/Paid blended rates instead of current ones. The checkbox now correctly saves its state so claims are always processed with accurate, up-to-date rates.

Independent Centers

Fixed

  • Fixed an issue where the breadcrumb navigation on certain Administration pages (User Detail and Delete Child) was incorrectly displaying "Setup" instead of "Administration" for Independent Centers. This now correctly reflects the current menu name.
  • Fixed an issue where the 2nd Serving button for infant meal records was incorrectly disabled for future meals on the current day. Since infants are allowed to have meals recorded at any time, the button is now enabled and works the same way as the 1st Serving button.

Sponsored Homes

Fixed

  • Fixed an issue where children enrolled by providers were missing drop-off and pick-up times, and in some cases enrollment expiration dates, on their child detail records. The provider enrollment form has been updated to capture these fields, and the system now handles missing time values more reliably to prevent blank schedule information.
  • Fixed an issue where clicking the Print button on several reports — including Child In/Out Times, Birthday Calendar, Food Served, and 5-Day Attendance — incorrectly generated a Scheduled Menu Report file instead of the requested report. The Print button now correctly prints the report currently displayed on screen.
  • Fixed an issue where the printed version of the Scheduled Menus Planned for Week report was missing food components (such as bread) from the PM Snack meal for infant menus, even though those components were correctly entered and visible on screen.
  • The print formatting for the Scheduled Menus report has been restored to its previous layout, fixing issues where the menu name was missing, food items were cut off, the font was too small to read, and the background appeared in bright yellow. Printed reports are now suitable for sharing with parents again.

Sponsors of Homes

Fixed

  • When a One-Time Gap is created for a provider in the School Calendar, it now correctly displays as a One-Time Gap event on the Child Tab calendar, rather than incorrectly showing as a Closed for Business event.
  • Fixed an issue where the Enrollment Form displayed an outdated enrollment date instead of the child's current enrollment date. The form will now always reflect the most up-to-date enrollment information on file.

Sponsors of Centers

Fixed

  • Fixed an issue where the Claimed Meal Count and Paid Meal Count summary reports were showing duplicate rows for the same date with different meal counts. Totals now appear correctly for each day.
  • In Observer Mode, the "CX Last Login Date" column has been removed, and the remaining "KidKare Last Login Date" column now displays the login time in the user's local time zone, eliminating the confusing discrepancy that previously showed two different timestamps for the same login event.
  • Fixed an issue where sponsors using Observer Mode to view a center's account were unable to check Local Ingredients checkboxes when recording meals on the Daily Menu, even when the Local Ingredients setting was enabled.
  • Fixed an issue where sponsor users with only the "Record Center Attendance" permission could not see the Menu/Attendance option in the left navigation panel. Sponsor users can now access Menu/Attendance without also needing the "Record Center Menu" permission assigned.
  • Fixed an issue where the username displayed in My Site showed the sponsor's (or state user's) username instead of the provider's username when using Observe Mode to view a provider's account.
  • Fixed an issue with the Weekly Paid Attendance + Meal Counts report where exporting with the "Licenses Consolidated" or a specific selected license filter was incorrectly displaying the same results as "Licenses Separated" instead of showing the correct grouped or filtered data.

Sponsored Centers

Fixed

  • Fixed an issue where tapping the light bulb icon for actual quantities served on a phone would not display the served quantities for each milk type. The popup now correctly appears when using KidKare on a mobile device.
  • ARAS centers can now successfully submit claims with more than 30,000 meals in a month. Previously, an error prevented claim submission when monthly meal counts exceeded this limit.
  • Fixed an issue where food components (such as Fruit/Vegetable) would randomly disappear from the Daily Menu screen for certain meals and snacks, even though the quantities were still shown. Food components will now remain consistently visible once they have been recorded.
  • Fixed an issue where juice quantities entered in ounces on the daily menu screen were incorrectly displaying as pounds on the Menu Production Record (MPR). The MPR will now show the quantity exactly as entered.
  • The Weekly Paid Attendance + Meal Counts report now displays a dash instead of a blank field for the Total Number of Program Staff Meals when no staff meals were served on a given day, making it clearer that zero meals were recorded.
  • Fixed an issue on the Attendance & Meal Counts page where setting the staff meal count to 0 could not be saved — the page would either do nothing or revert to the previous count. Staff meal counts can now be successfully saved as 0.

Independent Centers

Fixed

  • Open Enrolled (OE) Centers and Independent Centers could previously navigate directly to child management pages (such as viewing, enrolling, or deleting children) by entering specific URLs in the browser. These pages are now properly restricted, and users will be automatically redirected to the Home page or the OE Attendance & Meal Count page instead.
  • Fixed an issue where updating an individual infant's menu incorrectly increased the total meal count, causing inaccurate meal attendance totals for infant participants.

Sponsored Homes

Fixed

  • Fixed several issues with the "Locally Produced" checkbox on the Infant meal entry tab. The checkbox now correctly disables for Fruit and Vegetables when no food is selected, properly unchecks when the Purchase Location is removed before saving, and resets only for the intended food component rather than clearing all components at once.

All Users

updated

  • The field label "Gender" has been updated to "Sex" across all areas of KidKare to match the wording used on the official USDA Child Enrollment Form, ensuring consistent labeling for providers, sponsors, and parents across all screens, portals, and related policy settings.

Sponsors of Homes

updated

  • The WV Schedule A report is now available in KidKare for programs operating in West Virginia.

Fixed

  • Fixed an issue where the child list was not appearing on the Licensing Tab when editing a provider. Sponsors can now view and manage children as expected.
  • Fixed an issue in Provider Management where filtering providers by "Active" or "Active & Withdraw After" status incorrectly displayed providers who were "On Hold." Providers on hold will now only appear when that status is explicitly selected as a filter.
  • The Home Visit Status Report now correctly displays city names when the report is sorted by city, showing them alongside zip codes and county names as expected.
  • Fixed an issue where negative adjusted payments were not appearing on the Check Register Report. All payment adjustments — including negative amounts — are now displayed correctly.
  • Fixed an issue in the Review List Export File where the DisEndDate and DisStartMeals columns had their data swapped. Date values now correctly appear under DisEndDate and meal type values now correctly appear under DisStartMeals.
  • Sponsors can now view and record solid food components for 0–5 month old infants when entering or reviewing a provider's meal during a review, matching the behavior already available in the Enter Meal flow.
  • During online reviews, children are now sorted alphabetically by last name in the Foods & Attendance tab, making it easier for monitors and sponsors to locate and review individual children.
  • Fixed an issue where state users observing a provider's account in Observer Mode would see an empty dropdown on the Claim Information Form (CIF) report, preventing them from accessing the report correctly.
  • Fixed an issue on the Review Admin page that was causing timezones to display incorrectly.
  • The "Select Child Group to Exclude" filter on the Claim Information Form has been labeled to provide clearer guidance when printing the report.
  • Fixed an issue where Error 76 did not trigger correctly when a providers own non-infant child was the only non-infant claimed at a meal when own infant was claimed.

Sponsors of Centers

Fixed

  • Date fields in the Child List Export report now correctly display as date-formatted columns in Excel, rather than appearing as plain text, making it easier to sort, filter, and work with exported data.
  • Fixed an issue in the List Children section where a child's profile picture would not update when switching to a different child record. The correct photo now displays each time a new child is selected.
  • KidKare now prevents users from entering negative amounts in the Balance State Fund screen. Previously, a negative value could be typed into the Total Reimbursement From State Agency field, which has been corrected with added validation.
  • Sponsors and center staff can now enter zero or negative values for classroom capacity by age group in Center Management, matching the flexibility that was previously available in the legacy system.
  • Fixed an issue where entering an inspection expiration date for one center would incorrectly apply that date to all other centers under the same sponsor. Inspection dates (Fire, Health, and Sanitation) are now saved and displayed correctly for each individual center.
  • Fixed an issue where manually adjusting claim counts would only show the reason for the adjustment on the Operation and Expense Report (OER) — without the actual meal count changes. All claim adjustments, including changes to participating counts, attendance, and days claimed, now display fully on the OER for a complete audit trail.
  • Fixed an issue where exporting policies from the Manage Policies screen produced incorrect data for policy L.03c. The exported Excel file now accurately reflects the policy information shown on screen.
  • The Food Served grouping in manual reviews now correctly reflects the R.04 policy setting (By Age Group, By Classroom, or By Center Total) configured for each state or sponsor, instead of always defaulting to By Age Group.
  • The "View Online and Print" button on the View IEF Poverty Rates page has been updated to use the correct link, so users can now successfully access the current USDA income eligibility guidelines.
  • Corrected a typo in policy D.30's title.
  • Fixed an issue where meal counts for Paid PM Snacks were missing from the Meal Counts & Attendance with FRP Report.
  • Fixed an issue where individual infant menu quantities were not being added correctly on the Daily Menu page and within reporting.

Sponsored Centers

Fixed

  • Fixed an issue where the Spanish version of the blank enrollment form was printing in English instead of Spanish for certain centers. Centers that have the Spanish option available will now correctly receive the form in Spanish when selected.

Independent Centers

Fixed

  • The Weekly Attendance & Meal Count report for independent centers no longer incorrectly labels the center as "Sponsor." It now correctly displays "Independent Center," ensuring the report passes state audits.
  • Fixed an issue where the Daily Menu screen was incorrectly including milk quantity requirements for children marked as non-participating, causing the milk totals to be overstated. Only participating children are now counted when calculating required milk quantities.

Sponsored Providers

Fixed

  • Fixed an issue where the Claim Capacity Analysis report was displaying an incorrect count of a provider's own children, causing the "Own Added" number to appear far higher than the actual number of own children enrolled.
  • Fixed an issue where the review and sign links sent to providers via email were redirecting to the KidKare home page instead of opening the specific review for the provider to read and sign.
  • Fixed an issue where providers and sponsors could not view meal details by clicking on a meal in the Calendar. Clicking a meal now correctly opens the meal details instead of redirecting to the home page.

Homes - Parachute

Fixed

  • Fixed an error that prevented independent providers from successfully deleting a guardian. Users can now delete guardians without encountering an error.
