  • New report alert! We have added the 5-Day Meal Count Reconciliation report to KidKare for Centers. This report summarizes attendance, enrollment, and meal counts by age group for each meal service over a five-day period.

  • We have added a new policy and claim check for sponsors that looks for at least one Good Source of Iron was served to developmentally ready infants each day. 
    • Policy: M.20 Insufficient Source of Iron for Infants
    • Error: 115 No iron-rich solid food was recorded for these meals. This is a warning only; meals remain eligible.
  • The logic for importing children has been updated to prevent centers from activating children when sponsor policy does not allow them to do so. These changes are in the back-end only—the process to import children remains unchanged.

  • The Child List Export now includes Food Stamp Data and provider tier dates when users choose to include Provider Tier in the export file.
  • Reviews entered manually can now be printed in KidKare.

Fixed

  • Parent social security numbers (SSNs) were not printing on the Pennsylvania Income Eligibility Forms. This has been corrected. We are currently working to fix this issue for other state income eligibility forms.
  • After copying a child from one center to another, some sponsors were unable to retrieve the copied child's record.
    • Child A transfers from Sunshine Center to Moonlight Center.
    • Sponsor XYZ copies Child A from Sunshine Center to Moonlight Center.
    • Sponsor XYZ goes to Children>Manage Child Information and attempts to retrieve Child A's record under Moonlight Center. ⬅️Before this fix, the child could not be retrieved.
  • Changes made to the Infant Form on File and Special Diet sliders (turning them off/on) were altering prior historic data months. This error only impacted the UI—the database still reflected the correct historic info. 

    ➡️This issue only impacted sponsors who have enabled Child Historic Data. This feature must be enabled by KidKare Support. Check out this article for more on Child Historic Data.
  • In some cases, withdrawn dates were showing on the Child Roster. This was caused by withdrawn dates not being cleared when children were reactivated.
  • Changes made to the Claim Month on center receipts were not saving.
  • [ARAS] Sponsors were not able to select their ARAS centers when attempting to print the ARAS version of the Menu Production Record.
  • We corrected the categorization of Indigenous Vegetable Substitute for Oklahoma sponsors. This was previously flagged as a fruit, but should have been a bread/alt.

Fixed

  • Center users were unable to update enrollment dates when reactivating children.

    ➡️If you operate under a sponsor, your sponsor must provide permissions for activating/re-activating children. If you operate the food program independently, you must have the Child Enrollment permission to enroll children.
  • [Independent Centers Only] Children with an enrollment date in the future could not be activated by center users. They still cannot, but a warning message now  displays when a user attempts to activate a child with an enrollment date in the future.

Fixed

  • Printing the Direct Deposit file from the Issue Payments page was taking over a minute to generate, and, in some cases, timed out completely. We have optimized this process, and sponsors should be seeing faster print times for this file.
  • The Select/Unselect All buttons in Step 2 of the Issue Payments screen were not working correctly, which left some boxes checked (or unchecked) unintentionally. These buttons how function as expected.
  • When completing provider reviews, Monitors were not receiving a notification that their data hadn't been saved when they exit the review, leading to missing data. Users are now prompted to save any unsaved data before leaving the review.
  • When saving manual claims, some sponsors were receiving an error message stating the no child enrollments are on-file for the selected provider. However, enrollments did exist. We corrected the issue, and child enrollments are now retrieved correctly when entering manual claims.
  • Checks printed from KidKare were formatted incorrectly. We have made the following adjustments:
    • Repositioned the dollar amounts.
    • Removed the Claim Month from checks.
    • Added spacing so the perforation line does not impact check format.
  • Saving reviews was taking a long time. We have optimized the back-end functionality, and time to save reviews has been greatly improved.
  • When printing checks, users were able to click the OK button multiple times when presented with the Verify Checks Printed Successfully prompt. This was duplicating data. OK is now disabled after you first click it.

  • eForms are now available in Spanish! This update ensures that Spanish-speaking households have equal access to the information they need when enrolling participants in care. Here's some more details about this exciting addition to KidKare:
    • Spanish is supported both for new enrollments and re-enrollments.
    • Sponsors can customize the Initial Invitation, Send Back for Revision, Approval, and Thank You email templates in both English and Spanish.
    • A guardian's preferred language can now be set to English or Spanish on their contact record. When invitations are sent, this setting determines the language used in the invitation. If no language is set, eForms will default to English.
    • We plan to add more language options in the future.
  • We tweaked the Receipt Verification page based on feedback we've received from sponsors. Here's the details:
    • The Claim Month filter now defaults to the current claim month set for your account. The Transaction Date filter also defaults to the claim month.
    • We have updated the Milk column to show total gallons purchased instead of the amount of money spent on milk.
    • When reviewing or editing receipts, we moved the Delete button to the left of the pop-up—away from the Save button.
    • The Unapproved expense category has been renamed to Non-Reimbursable to provide greater clarity.

Fixed

  • The Claim Month menu on the Receipt Verification page was sorting Claim Months from oldest to newest instead of recent to oldest. This has been adjusted so the most recent claim months are listed first.

  • The Receipt Verification page has been updated to show the user-input Invoice Number and the system-generated Receipt ID. Previously, this page only showed the system-generated Receipt ID. See Verify Receipts for more information about working with receipts in KidKare.

Fixed

  • If a child belonged to a deleted classroom, users were unable to Approve & Renew eForms for that child.

Sponsors of Centers

  • Sponsors of centers can now disable the child auto-activate feature via a new policy called D.32 Automatically Activate Pending Child with Current/Past Enrollment Date. This policy is set to Y by default. If you set this policy to N, Pending children will no longer be automatically set to Active when you update enrollment dates on the child profile. Learn how to adjust your policies here.
  • New permissions for sponsor users have been added. Learn more about setting up user permissions here.

    • Reset Child Licenses: Controls access to the Reset Child Licenses feature.
    • List Reviews: Controls access to the List Reviews page.
  • We have updated the Georgia Income Eligibility Form to the latest version for FY 25-26.

Fixed

  • Sponsor users with Observer Mode-only access were able to access reports in KidKare, as well. We've corrected this issue, and users who do not have reports permissions can no longer access reports. Learn more about setting up user permissions here.
  • When processing claims for split shift meals, some children were being counted in both split shifts, instead of only the one they attended. We have updated the claims processor so that children served in both Shift 1 and Shift 2 are disallowed.

  • When updating child information, tabs that are missing required information now turn red when a user navigates away from the tab. For example, if Clara updates a child's schedule, but misses a required field, the Schedule tab turns red if Clara clicks on the Child, Parent, Special, or Rules tabs.

  • Some sponsors of homes  encountered an issue where a provider's Next Review Date was reverting to a prior date upon save. This issue only occurred in KidKare, and has now been corrected.
  • We fixed an issue where the Dinner capacity for a provider was reverting back to an old capacity upon save. This issue only occurred in KidKare and has now been corrected.
